Journeying from reports to real talk ~ An honest insight into why we built our AI in paid media chatbot

The idea started over coffee. (Naturally.)

One of our performance marketers, after switching between five dashboards before 10 a.m., said out loud:
“Why can’t I just ask my data what I need to know?”

That question turned into a prototype. The prototype turned into a tool. And today, that tool is how our paid media team gets answers to performance questions in seconds, by sending a message on any chatbot interface. That’s it.

All they have to do is ask. No dashboards. No CSVs. No middlemen. Just a quick message on WhatsApp, Telegram, or Slack, and boom, answer delivered.

The chatbot sounds like a person, not a calculator.

The problem we sought to solve

Let’s be honest, performance marketing is fast.
You’re launching campaigns, optimizing creative, managing budgets, testing audiences and somewhere in between, someone always wants numbers.

But getting those numbers? 

That usually means stopping what you’re doing to dig through platform UIs that weren’t exactly designed for flow. And if you’re managing multiple accounts? Multiply that pain.

We needed:

  • Speed: Answers in seconds, not after a reporting cycle
  • Accuracy: No more human errors or missed filters
  • Scalability: Something we could roll out across teams and eventually, to clients

So we built it ourselves!

This wasn’t some vendor-led, six-month enterprise solution.

It was built in-house by marketers who were tired of context-switching and report-chasing.

This is real marketing automation for paid ads, tailored to how performance marketers work.

Behind the scenes, it’s powered by:

  • GPT-4o: Converts natural questions into structured Meta API queries
  • Meta Ads API: Provides real-time campaign data
  • N8N: Automates query flow and integration
  • Airtable & Postgres: Store account mappings and campaign memory

So when someone asks, “How’s ROAS trending this month?” they get a clean, instant response like:

“ROAS for Campaign A from June 1–25: 4.8. That’s up 12% vs. the previous period.”

That’s not just speed. That’s AI automation for ad campaigns that actually works in real-world workflows.

It listens to a natural-language query (like “How was the performance last week”), converts that into a Meta API call, and formats the output into a human-readable message, all in seconds.

Okay, but what’s changed?

Since we rolled this out, here’s what’s been different, for the better:

1. Zero wait time = Faster decisions

No more logging into Meta, filtering views, or waiting for someone else to send a report.
Now it’s: question in → answer out → decision made.

That’s changed the pace of how we work. Whether it’s during a client meeting or a quick internal sync, the data is always ready to support the next step, not lag behind it.

2. Built-in trust & accuracy

The bot pulls data directly from Meta’s API. That means it’s current, clean, and standardized every time. We’ve added prompt validations, fallback rules, and even guardrails to make sure responses are on point and easy to interpret.

We’ve basically removed all the “Oops, I was looking at the wrong date range” kind of moments.

3. It’s client-friendly too

Right now, our team uses it daily. But the next phase? We’re opening it up to clients.

Imagine your CMO being able to ask:

“Hey, what’s my ROAS this week?”
“Did any ad set dip in performance?”
“What’s our best-performing creative by CTR?”

All from their phone. Without needing a meeting. Without needing to “circle back.”
